Are you a do- it all person? You’ll most likely be in the heart of all the action!

Being at the front desk, you will be the face of the company at the entrance of our offices. You will have the chance to make your mark by being the point of contact for all employees, collaborating with the internal IT team, our suppliers and the property owners.  We're looking for a personality first: Are you resourceful? Helpful? Organized? Curious? Do you have good interpersonal skills? If you answered yes to all these questions, then you are potentially the one we are looking for to be our Montreal/Quebec office hero.

A more concrete idea of a typical day to day:

  • Who doesn’t love coffee? Pour yourself a mug (free) while making sure that our free snack bar is full. You’re proud of your new idea of adding oat milk to our offering, which gained popularity and implementation. It’s a win with the staff as well!
  • You're at your workstation, going through your emails and reviewing all the requests regarding the office and the services offered to employees. You plan your schedule for the day based on priorities. You are the conductor of the office wellness orchestra! 
  • Good news! You learn that there are several events happening this month. You will have the opportunity to work with different teams to coordinate their preparation. As you are responsible for the smooth running of workplace activities, the Social Club wants your input on a technicality related to COVID and the possibility of having a gathering outside the office. 
  • Lunch was fun, you loved learning more about your co-workers! Back at your desk, you meet with colleagues in Human Resources as they reveal there are  six new employees to welcome next week. We're growing fast! Together, you make sure that everything will be perfect for the arrival of the new employees. You take this opportunity to share an  idea you had to optimize their onboarding experience. You’re on a roll, your idea is well received , it’s time to execute it and add it to the existing process documentation.
  • It's already 2:30 p.m! Time to attend a meeting with the architects and foremen to learn more about the renovations that will take place this fall. Your goal is to facilitate the coordination and progress of the work while employees are working on site in parallel. 
  • We’re still in the middle of a global pandemic, right? You see how you can accommodate the employees according to the government measures in place ensuring compliance with health regulations. You will have the opportunity to participate in various projects that will impact the employee experience and the company culture. 
  • Time flies, your day is already over! It's Friday, so you take the time to have a beer and a game of foosball with your colleagues to celebrate a successful week! You leave the office with a feeling of accomplishment and a persistent attitude!

Here’s an idea of what’s in store for you

Workplace Experience: 

  • Welcoming new employees, visitors, delivery people & construction workers
  • Coordination of orders for healthy snacks offered by Coveo: ensure diversity and quality of products offered
  • Coordination of lunch orders for meetings and events
  • Organization of activities and events for the internal community
  • Reception of Electronic telephone calls, Mail, Postal and Parcel Management 

Workplace Operations:

  • Purchasing of miscellaneous product orders (office supplies, coffee, maintenance materials & equipment)
  • Completion of expenses report, incurred on the corporate card (detailed monthly report)
  • Communication with property owners (Cominar/Cadillac Fairview)
  • Coordination of service calls for office maintenance & cleaning
  • Ensuring employee health and safety
  • Follow-up on construction projects and supporting organizational logistics of the development and implementation of workspaces in relation to growth

Evidently, you will also be in charge of assisting the rest of your team with all other tasks as the end of lockdown will proceed and employee services begin to resume.

  • You are bilingual; you are both very comfortable (speaking and writing)  in French and English. 
  • You should ideally have 3 years experience in a similar role in a company. 
  • Your profile will attract attention if you have already worked with Asana or Jira, or any other project management software or similar software (Jira, Trello, Zendesk etc.)
  • You want to be autonomous in your responsibility by fulfilling your obligations. You act as a reliant individual. 
  • You express excitement regarding new responsibilities, you seek possibilities of collaborating with your team, and you express new initiatives by remaining dynamic.
