Coveo's growing Montreal/Quebec City office offers a workspace for over 250 employees from all departments of the company. 

Join the Workplace Experience & Operations team and be  responsible for the Montreal/Quebec City office for various aspects of the business: reception, employee experience and operations. 

You will be the face of the company at the entrance of our offices. You will have the chance to make your mark by being the point of contact for all employees, collaborating with the internal IT team, our suppliers and the property owners.  We're looking for a personality first: Are you resourceful? Helpful? Organized? Curious? Do you have good interpersonal skills? If you answered yes to all these questions, then you are potentially the one we are looking for to be our Montreal/Quebec office hero.

Here’s an idea of what’s in store for you

Reception: 

  • Management of Electronic telephone calls and faxes 
  • Mail, Postal and Parcel Management 
  • Reception of visitors, delivery people & construction employees
  • Reception of new employees: visit of the office and photo taking
  • Management of expenses incurred on the corporate card (detailed monthly report)

Employee experience: 

  • Management of orders for healthy snacks offered by Coveo: ensure diversity and quality of products offered
  • Management of miscellaneous product orders (office supplies, coffee, maintenance materials)
  • Management of lunch orders for meetings
  • Support for the organization of townhalls, on-boarding, training and various meetings
  • Organization of activities and events for the internal community

Operations:

  • Connect with property owners (Cominar/Cadillac Fairview)
  • Coordination of service calls for office maintenance
  • General operation and maintenance of facilities
  • Protection of employee health and safety
  • Follow-up on construction and fit-up projects
  • Supporting the organizational logistics of the development and implementation of workspaces in relation to growth

Evidently, you will also be in charge of assisting the rest of your team with all other tasks as the deconfinment will proceed and employee services begin to resume. 

You will be provided with an abundant amount of opportunities to develop your skills in a multitude of ways, including providing challenging work experiences in a  socially responsible and sustainable environment. 

A more concrete idea of a typical day to day:

  • Who doesn’t love coffee? Pour yourself a mug (free)! from the new coffee machine you assisted setting up yesterday while conversing with your colleagues who arrive at the same time as you. With coffee comes milk, oat milk that is. You’re proud of your new idea which gained popularity and implementation. It’s a win with the staff as well!
  •  Before going to the front desk, you make your way around to the different snack stations and  ensure nothing is missing before you place your weekly order of healthy products (fruit, milk, yogurt, cheese, etc.). You take the opportunity to give a lumbar cushion to an employee on your way. You are the conductor of the office wellness orchestra! 
  • You're at your workstation, going through your emails and reviewing all the requests regarding the office and the services offered to employees. You plan your schedule for the day based on priorities. 
  • Good news! You learn that there are several events happening this month. You will have the opportunity to work with several teams to coordinate their preparation. As you are responsible for the smooth running of workplace activities, the Social Club wants your input on a technicality related to COVID and the possibility of having a gathering outside the office. 
  • Lunch was fun, you loved learning more about your co-workers! Back at your desk, there is exciting news. You meet with several colleagues in Human Resources as they reveal there are  six new employees to welcome next week. We're growing fast! Together, you make sure that everything will be perfect for the arrival of the new employees. You take this opportunity to share an  idea you had to optimize their onboarding experience. You’re on a roll, your idea is well received , it’s time to execute it and add it to the existing process documentation.
  • It's already 2:30 p.m! Time to attend a meeting with the architects and foremen to learn more about the renovations that will take place this summer. Your goal is to facilitate the coordination and progress of the work while employees are working on site in parallel. 
  • An application to work in the office tomorrow just came in! You see how you can accommodate the employee according to the government measures in place and prepare for their arrival while ensuring compliance with health regulations. You are excited about the new office reservation system! Your empathy and understanding of the organization will help manage change and engage employees. You will have the opportunity to participate in various projects that will impact the employee experience and the company culture. 
  • Time flies, your day is already over! You leave the office with a feeling of accomplishment and a persistent attitude! It's Friday, so you take the time to have a beer and a game of foosball with your colleagues to celebrate a successful week!

You know how the saying goes, personality comes first. However, the following skills listed  align with the roles expectations and create probable chances of achievement: 

  • You are bilingual; you are both very comfortable in French and English. 
  • You should ideally have 3 years experience in a similar role in a company. 
  • Your profile will attract attention if you have already worked with Asana or Jira, or any other project management software or similar software (Jira, Trello, Zendesk etc.)
  • You want to be autonomous in your responsibility by fulfilling your obligations. You act as a reliant individual. 
  • You express excitement regarding new responsibilities, you seek possibilities of  collaborating with your team, and you express new initiatives by remaining dynamic.
