Step 3 - Index Files

1. Access the file share panel

To index file shares, click the Index menu and select file shares.

2. Create a User Identity

A user identity must first be entered. This identity will be used by default for all file shares you will create. If necessary, new identities can be created later.

A user identity provides the credentials needed to crawl documents. Please enter the credentials of a Windows user account with sufficient privileges in order to access the documents and folders that you want to index. Note that the permissions on documents are indexed and enforced at query time. This means that only users with access to the documents will see them in the result list when they search.

3. Create a new file share

Click on the Add New button. You must provide a name for this file share, a location (a valid UNC path, e.g. \\ComputerName\SharedFolder\Resource) and identity (keep checked to use the previously created user identity, or enter a new user identity for this file share).

After clicking Add, the new file share will be added to the list view and if the path is valid, the indexing will start automatically. The indexing can be paused and resumed by activating a menu when you hover your mouse over the name of your source. The number of indexed items is displayed in the "Items" column, with the value automatically refreshed at short intervals. If an error occurs, it can be displayed by accessing the same menu.

Note that some time may elapse between the crawling of the documents and your ability to view them in the search results. This is due to the transactional nature of the indexing process. For better performance, documents are applied ("committed") into the index after some conditions are met.

4. See the status of your Index

Click on the Status menu and select the Overview submenu.

5. See the status of your license

Click on the Status menu and select the License submenu. This panel provides information about your remaining users, file documents, SharePoint documents and total number of documents before reaching your free license limits, as well as other system and index information.
